Terms & conditions
- The Scheme
Nothing in these Terms and Conditions creates any obligation on Sapphire to accept a referral, provide services to the referred person, or continue providing services to any customer. Sapphire may decline, pause or stop onboarding or service provision where appropriate, including for compliance, eligibility, operational, commercial or credit-control reasons.
1.1 The Sapphire Refer a Friend scheme is open to eligible Sapphire customers who refer a friend, colleague or contact to Sapphire for one of our contracting or accountancy services.
1.2 By submitting a referral, you confirm that you have read, understood and agree to be bound by these Terms and Conditions.
1.3 There is no fixed limit to the number of people you can refer, provided each referral meets the qualifying criteria set out below and Sapphire is satisfied that the scheme is being used fairly and appropriately.
- Who Can Make a Referral?
2.1 To qualify for a reward, the person making the referral must be an active Sapphire customer in good standing both when the referral is submitted and when the referred person meets the relevant qualifying criteria.
2.2 Sapphire employees, suppliers, agents, representatives and any individuals directly involved in processing, managing or influencing referrals may be excluded from the scheme at Sapphire’s discretion.
2.3 Referrals must be genuine recommendations. Referrals submitted using false, misleading or inaccurate information may be rejected.
2.4 Sapphire may review, cap, withhold or delay rewards where referral volumes, patterns or circumstances indicate misuse, abuse, conflict of interest, duplicate activity, self-referral, artificial referrals, or activity that is inconsistent with the purpose of the scheme
- Referral Eligibility
3.1 The person being referred must be a new customer to the relevant Sapphire service and must not already be registered with, in discussion with, introduced to, or otherwise known to Sapphire in connection with that service at the time the referral is submitted
3.2 The referral must be submitted to Sapphire before the referred person has already registered with, or formally engaged, Sapphire for the relevant service.
3.3 A referral will only qualify for a reward where Sapphire can reasonably verify, from its records, that the referrer was the first valid source of the introduction.
3.4 Where the same person is referred by more than one person, the reward will normally be awarded to the first valid referral received and recorded by Sapphire, unless Sapphire determines that another outcome is fair and appropriate in the circumstances.
3.5 Sapphire reserves the right to determine whether a referral meets the qualifying criteria.
- Umbrella Referrals
4.1 Where an eligible customer successfully refers a contractor to Sapphire’s umbrella service, the referrer will receive £75 once the referred contractor has received four payments through Sapphire, subject to these Terms and Conditions.
4.2 The £75 reward will only become payable once the referred contractor has received their fourth payment through Sapphire.
4.3 The £75 reward will be paid through the referrer’s Sapphire payroll, where applicable, and will be subject to any applicable tax, National Insurance, payroll deductions or other statutory deductions.
4.4 The referred contractor must remain with Sapphire and receive four payments through Sapphire for the referral to qualify.
- CIS Referrals
5.1 Where an eligible customer successfully refers someone who subsequently joins Sapphire’s CIS payroll service, the referrer will receive two weeks of free payroll services once the referred customer has received four payments through Sapphire.
5.2 The free payroll period will only become payable once the referred customer has received their fourth payment through Sapphire.
5.3 The free payroll period applies to the eligible Sapphire CIS payroll service only and cannot be exchanged for cash or another reward.
5.4 The referred customer must remain with Sapphire and receive four payments through Sapphire for the referral to qualify.
- Limited Company Referrals
6.1 Where an eligible customer successfully refers a limited company to Sapphire’s accountancy team, the referrer will receive a £200 Amazon voucher once the referred company has made its first Direct Debit payment to Sapphire, subject to these Terms and Conditions.
6.2 The referred company must become a paying Sapphire customer and make its first Direct Debit payment for the referral to qualify.
6.3 The voucher cannot be exchanged for cash or an alternative reward.
- Referral Submission
7.1 Referrals must be submitted using the Sapphire Refer a Friend form or another method approved by Sapphire.
7.2 The referrer is responsible for providing accurate information when submitting a referral.
7.3 By submitting a referral, you confirm that you have a lawful basis for providing the referred person’s contact details to Sapphire, that the referred person would reasonably expect Sapphire to contact them about the relevant services, and that you are not knowingly providing inaccurate, misleading or unauthorised information.
7.4 Sapphire will use the details provided to contact the referred person about the relevant Sapphire services and to administer the Refer a Friend scheme
- Payment of Rewards
8.1 Rewards will only be issued once all applicable qualifying criteria have been met.
8.2 For umbrella and CIS referrals, the referred customer must have received four payments through Sapphire before the relevant referral reward becomes payable.
8.3 The four payments must be successfully processed through Sapphire’s payroll service. Payments that are cancelled, reversed or otherwise not successfully processed may not count towards the four-payment requirement.
8.4 For limited company referrals, the referred company must have made its first Direct Debit payment to Sapphire before the £200 Amazon voucher becomes payable.
8.5 Sapphire will aim to process eligible rewards as soon as reasonably practicable after the qualifying criteria have been met and verified, subject to payroll, operational and administrative timelines.
8.6 The referrer is responsible for any personal tax reporting or other obligations that may arise from receiving a reward, except where Sapphire is required to account for deductions through payroll or another applicable process.
8.7 If the referrer is no longer an active Sapphire customer when the qualifying criteria are met, Sapphire may not issue the reward.
8.8 Sapphire may withhold or refuse a reward where there is reasonable evidence that the scheme has been misused, abused or entered into dishonestly.
- Changes to the Scheme
9.1 Sapphire reserves the right to amend, suspend or withdraw the Refer a Friend scheme or change the rewards offered at any time.
9.2 Any changes will apply to new referrals submitted after the change takes effect, unless otherwise stated.
9.3 Sapphire will not normally make changes retrospectively to referrals that have already met all qualifying criteria.
- General
10.1 The Refer a Friend scheme is subject to availability and is not guaranteed to remain open indefinitely.
10.2 Rewards are non-transferable and, unless expressly stated otherwise, cannot be exchanged for cash or an alternative reward.
10.3 Sapphire reserves the right to make the final decision on whether a referral qualifies for a reward.
10.4 Sapphire’s decision in relation to the eligibility of a referral will be final.
10.5 These Terms and Conditions are governed by the laws of England and Wales and are subject to the jurisdiction of the courts of England and Wales.
- Data Protection
11.1 Personal information provided as part of the Refer a Friend scheme will be handled in accordance with Sapphire’s Privacy Policy, including any applicable retention periods, lawful bases and data subject rights set out in that policy
11.2 By submitting a referral, you acknowledge that Sapphire will need to use the information provided to contact the referred person about Sapphire’s services.
